The 6 fields that matter most

Unique identifier for tracking. Use a consistent format like INV-2026-001. Makes follow-up conversations unambiguous.

βœ“ Due date (not 'Net 30')

Write the actual date: 'Payment due: June 15, 2026'. 'Net 30' is vague β€” a surprising number of clients don't know what it means.

βœ“ Your bank/payment details

Make it impossible for them to say 'I don't know how to pay you.' Include at least two payment methods.

βœ“ Clear description of work

Invoice disputes are usually about scope. Be specific: 'Designed 3 website mockups per brief dated April 22' beats 'Design work'.

Even if you never enforce it, stating a late fee (e.g. 1.5%/month) signals professionalism and sometimes accelerates payment.
