UK invoicing rules are straightforward β but getting them wrong can cause problems with HMRC. Whether you're a sole trader, limited company, or VAT-registered freelancer, this guide covers exactly what you need.
What UK Law Requires on Invoices
Under HMRC rules, all invoices issued by UK businesses must contain the following:
Your full name or business name
Sole traders must use their legal name. Limited companies must include the registered company name.
Your address
Your business address. Must be a real address β PO boxes are not sufficient alone.
A unique invoice number
Must be sequential β e.g. INV-001, INV-002. You cannot reuse or skip numbers.
Invoice date
The date you raised the invoice. Also include the supply date if different from invoice date.
Client name and address
The legal name of the person or company you are billing.
Description of services
Enough detail for HMRC to verify the supply β not just 'services'.
The amount charged
Net amount and total. If VAT registered, show VAT separately.
VAT Invoices vs Non-VAT Invoices
Most freelancers starting out are not VAT registered. If your annual turnover is below Β£90,000(the 2026 threshold), you don't need to register and you don't charge VAT.
Once you cross Β£90,000, VAT registration is compulsory and your invoices need:
- βYour VAT registration number (format: GB123456789)
- βVAT rate applied (0%, 5%, or 20%)
- βNet amount (before VAT)
- βVAT amount charged
- βGross amount (total including VAT)

Making Tax Digital β Does It Affect Your Invoices?
Making Tax Digital (MTD) is HMRC's initiative to move tax records digital:
- βMTD for VAT: VAT-registered businesses must keep digital records and submit VAT returns through MTD-compatible software.
- βMTD for Income Tax (ITSA): Rolling out from April 2026 for self-employed with over Β£50,000 income. Quarterly digital updates to HMRC required.
- βBelow the threshold? MTD ITSA won't apply until you cross the income threshold. Regular self-assessment applies.

Do I need to charge VAT as a UK freelancer?
Only if your annual turnover exceeds Β£90,000. Below this, you cannot charge VAT β even if your client is VAT registered.
What invoice number format should I use?
Any sequential format works: INV-001, 2026-001, or just 1, 2, 3. Numbers must be unique and sequential β you cannot reuse or skip numbers.
How long do I need to keep invoice records in the UK?
HMRC requires you to keep business records for 5 years after the 31 January submission deadline. VAT-registered businesses: keep VAT records for 6 years.
Can I charge late payment interest on UK invoices?
Yes. Under the Late Payment of Commercial Debts (Interest) Act 1998, you can charge statutory interest of 8% above the Bank of England base rate.
Is a PDF invoice legally valid in the UK?
Yes. Electronic invoices (PDF or digital format) are fully valid in the UK. There is no requirement for paper invoices.
