The 4-stage late payment escalation
Think of chasing late invoices as a ladder. You start friendly and professional — most invoices are paid in the first 1-2 steps. You escalate only when needed.
Stage 1
Friendly reminderDay 3–5 overdue
Assume it was an oversight. Keep the tone warm.
Stage 2
Firm follow-upDay 7–10 overdue
It's been a week. Be direct, but still professional.
Stage 3
Urgent noticeDay 14–21 overdue
Mention consequences. Late fees, service pause, escalation.
Stage 4
Letter before action (LBA)Day 30+ overdue
Formal legal notice. Required before court proceedings in most jurisdictions.
Template 1: Friendly first reminder (day 3–5)
The most effective reminder is the one that assumes good faith. Most clients pay after this.
