A sole proprietor (or sole trader) is a self-employed individual who owns and runs their business personally. Unlike an LLC or corporation, there is no legal separation between you and your business — you are the business.

Yes — and not just as good practice. In most countries invoicing is legally required for B2B transactions and strongly advisable for all client work.

What Goes on a Sole Proprietor Invoice?

Even without a registered company name, your invoices must contain certain information to be legally valid:

Your full legal name

Even if you trade as "Studio X" — your personal name must appear. You can include both: "Jane Smith t/a Studio X".

Your business address

Your home address is fine if that's where you operate from.

3.
Tax / registration number (if applicable)

EIN (US), UTR (UK), KVK + BTW (NL), Steuernummer (DE), ABN (AU).

4.
Client details

Name, company (if applicable), address, email.

5.
Invoice number

Sequential and unique: INV-0001, INV-0002… or 2026-001, 2026-002…

6.
Invoice date + due date

Date issued, and when payment is due (e.g. "Net 30" = 30 days from invoice date).

7.
Description of services + amounts

Be specific. "Web design — homepage redesign, 3 revision rounds" not "Web design".

8.
Tax (VAT/GST) breakdown

If registered: subtotal, tax rate, tax amount, total. If not: state "VAT not applicable".

9.
Payment details

Bank account (IBAN/sort code/routing number), PayPal, or payment link.

Sole Proprietor Invoice Requirements by Country

🇺🇸 United States

No mandated invoice format for sole proprietors. If you have an EIN (Employer Identification Number), include it. Never put your SSN on an invoice — use an EIN instead. Self-employment tax is 15.3% on net earnings.

🇬🇧 United Kingdom

Sole traders must include their name on all invoices. If VAT-registered (threshold: £90,000/yr), a VAT invoice is legally required and must include your VAT registration number. Making Tax Digital (MTD) applies to VAT-registered businesses.

🇳🇱 Netherlands (ZZP)

Dutch ZZP'ers must include their KVK number and BTW number on all invoices. Standard BTW rates: 21%, 9%, 0%. Under the KOR (below €20,000/yr) no BTW is charged — write 'BTW vrijgesteld o.g.v. art. 25 Wet OB 1968 (KOR)'.

🇩🇪 Germany (Freiberufler)

German freelancers must include their Steuernummer on invoices. Kleinunternehmer (below €22,000/yr) write 'Kein Ausweis von Umsatzsteuer aufgrund der Kleinunternehmerregelung nach §19 UStG'.

🇦🇺 Australia

Australian sole traders must include their ABN. If GST-registered (threshold: A$75,000/yr), issue a tax invoice with GST breakdown. Note 'Tax Invoice' prominently at the top.
